Privacy Policy

PassportOffices is an independent directory made with love out of Wyoming. We collect as little as possible, never sell your data, and never ask for passport or Social Security numbers.

1. Overview

passportoffices.com is an independent directory and guidance service — a joint project made with love out of Wyoming, United States. This policy explains what we collect, why, and the choices you have.

We are not a government agency and we never collect passport applications, Social Security numbers, or passport numbers. Never send us those details.

2. Information we collect

  • Account information — email address and authentication identifiers when you create an account or sign in with a provider.
  • Information you submit — reminder preferences and dates, checklist answers (age range, travel date, prior passport status), courier listing submissions, service inquiries, and directory corrections.
  • Location inputs — a ZIP code or street address you type to find nearby offices. We do not track your device location in the background.
  • Usage data — pages viewed, searches performed, approximate region, browser and device type, and referring page.
  • Communications — messages you send us and email delivery events such as bounces.

3. How we use information

  • to operate the directory, search, maps, checklists, and reminders you request;
  • to send the email or SMS reminders and notifications you opt into;
  • to review, verify, and publish courier listings and corrections;
  • to answer your messages and route service requests to the courier you contacted;
  • to measure and improve site performance, accuracy, and accessibility; and
  • to prevent abuse, fraud, and security incidents, and to comply with law.

5. When we share information

We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising.

We share limited data only with:

  • service providers that host our database, send email and SMS, geocode addresses, and serve map tiles, under contracts limiting their use of the data;
  • couriers you contact — when you submit a “request services” form, your message and contact details go to that courier;
  • legal recipients when required by law, subpoena, or to protect rights and safety; and
  • a successor in a merger, acquisition, or asset sale, subject to this policy.

6. The passport photo tool

The free passport photo tool runs entirely in your browser. The image you choose is read locally, cropped locally, and downloaded locally. It is never uploaded to us or to anyone else, we never receive a copy, and nothing about the photo is stored on our servers or in your browser after you leave the page.

7. Cookies and analytics

We use strictly necessary cookies for sign-in and session security, plus privacy-respecting analytics to understand aggregate usage. You can block or delete cookies in your browser; sign-in and saved preferences may stop working if you do. We honor Global Privacy Control (GPC) signals as an opt-out of any sale or sharing.

8. How long we keep data

Account and reminder data is kept while your account is active and for up to 24 months afterward. Published courier listings and moderation/audit records are kept as long as the listing is public plus 24 months. Inquiry messages are kept for 24 months. Aggregated, de-identified analytics may be kept indefinitely.

9. Your rights and choices

Depending on where you live (including California under the CCPA/CPRA, and the EEA/UK under the GDPR), you may have the right to access, correct, delete, port, restrict, or object to processing of your personal information, and to withdraw consent. We will not discriminate against you for exercising these rights.

Email privacy@passportoffices.com to make a request; we verify requests through the email address on your account and respond within 45 days. You can unsubscribe from emails using the link in any message, and stop SMS reminders by replying STOP.

10. Security

We use encryption in transit, row-level access controls, role-scoped admin access, and audit logging for administrative changes. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.

11. Children

The site is intended for adults. We do not knowingly collect personal information from children under 13. Parents who apply for a minor’s passport should enter only the information the checklist asks for. If you believe a child provided us information, email privacy@passportoffices.com and we will delete it.

12. International visitors

We operate in the United States and process data there. If you access the site from outside the U.S., you understand your information will be transferred to and processed in the U.S., which may have different data protection laws than your country.

13. Changes and contact
